CRS |
|
CRS—Community Records System®
CPWI's Community Records System database—developed in 1997—manages
all the vital accounts for planned community associations by providing
educational material for board members, defining the numerous legal documents
related to the association, and identifying that information which must be maintained
permanently.
Unique identifiers track specific data and provide an organized record of
historic documents and corporate history—meeting the responsibilities placed upon
directors and officers of the association. |

Association Document Disclosure Service
- Resale Documents
- For potential residents, the first impression of an association is the resale package of documents and information given shortly after a contract has been offered. For sellers, a contingency contract exists until the purchaser receives the documents and has had the opportunity for review. For associations, there is an image to project—friendly, well-governed, organized—these and other traits are apparent in the style and accuracy of the documents provided on their behalf.
- Rental Documents
- Owners of investment properties within planned communities are responsible for informing tenants of the obligations imposed upon all residents by the association documents. CPWI provides coverage for the owner throughout the term of the lease.

Mortgage Service
CPWI provides association documents and information to mortgage companies on behalf of owners refinancing their homes and for purchasers seeking mortgage approval. Associations and builders desiring to provide FHA/VA underwriting loan approval for their members utilize CPWI to process the request. |

Charter Service
CPWI prepares and submits applications for revival of charters and for change of principal office or resident agent. To ensure receiving proper notification of legal actions in a timely manner, the business addresses and contacts of the incorporated association must be current. |

Meetings Service
From the transition by a developer to the special meeting called by the board, CPWI provides members with timely notification of meetings. Matching the requirements imposed by the State and the documents for each community requires attention to detail. The call for first-time nominations, the preparation of proxies and ballots—each must be monitored to ensure accuracy and compliance. The proxies and ballots are retained for three years; longer if requested. CPWI provides onsite independent election processing for annual meetings and for special meetings such as litigation, special assessments, or budget approvals. |

Transition Service
CPWI assists associations in transition, whether that be from developer to homeowner board, between management companies, or between management and the board itself. Utilizing the Community Records System (CRS) as the basic tool for gathering the legal, financial, and historic documentation for the community, CPWI guides the association through the transition process. |
